Pollen + HubSpot Integration

Pollen connects to your HubSpot CRM to give Customer Success Managers a unified view of CRM data — companies, contacts,
deals, tickets, and communications — alongside every other customer touchpoint. AI agents continuously monitor account
health, surface risks, and take action on your behalf.

What It Does

Once connected, Pollen syncs your HubSpot data and puts AI agents to work on it:

Companies & Contacts — Pollen automatically syncs your HubSpot companies and contacts, matching them to your existing
customer accounts using domain and email matching. Company attributes, custom properties, and owner data are surfaced
directly in each customer's profile. AI agents write health scores and risk labels back to HubSpot company records.

Deals & Pipeline — Active deals, stages, values, and line items are pulled into each customer's timeline so CSMs have full
visibility into where accounts stand. Agents can create expansion and renewal deals when they detect opportunities.

Tickets & Feedback — Support tickets and feedback submissions feed into Pollen's health scoring engine, helping agents
detect escalation patterns and support-driven churn risk.

Notes & Tasks — AI agents log account briefs, meeting prep, and key insights as notes on HubSpot records. When playbooks
identify actions a CSM should take, agents create follow-up tasks directly in HubSpot.

Communication Intelligence — Pollen reads HubSpot conversations and sales email activity to track communication frequency,
detect engagement gaps, and analyze sentiment across accounts.

Timeline Activity — AI-generated insights, alerts, and account events are logged to HubSpot record timelines so your team
sees Pollen's analysis right inside HubSpot.

Playbook Automation — CRM events from HubSpot can trigger automated workflows, such as flagging an account for review when
a deal is downgraded or scheduling a check-in when engagement drops.

How It Works

One admin connects your HubSpot portal from Pollen's Integrations page via OAuth. This connection is shared across your
entire Pollen workspace — each team member does not need to connect individually.

Pollen provides a setup wizard to configure field mapping, account filtering, and sync preferences. You choose which
HubSpot companies to import and how properties map to Pollen fields.

HubSpot records, deals, tickets, notes, and communications appear in your customer timelines and feed into AI agents and
playbooks.

AI agents continuously monitor synced data, write health scores back to HubSpot, create tasks and notes, and trigger
workflows — all automatically. Changes sync via webhooks in real time.

Permissions Requested

Pollen requests the following HubSpot scopes to provide this functionality:

CRM read & write — To sync companies, contacts, and deals into Pollen and write health scores, notes, and tasks back to
HubSpot. Includes schema access to understand and map custom properties.

Tickets & feedback read — To import support tickets and feedback submissions for health scoring and escalation detection.

Custom objects read — To access custom CRM objects and their schemas for flexible data model support.

Lists read — To access saved lists used for account segmentation and filtering during setup.

Owners read — To identify HubSpot users for attributing records to the correct team member.

Conversations & email read — To read conversation history and sales email activity for communication intelligence.

Timeline — To log AI-generated insights and events to HubSpot record timelines.

Line items & products read — To surface deal line items and product data alongside pipeline information.

Pollen does not request permissions to delete records, modify your portal configuration, or access data beyond what is
needed for the integration.

  • A HubSpot account with admin-level access to authorize the connection
